Position Description

Position Title: Branch Services Coordinator

Supervisor(s): Executive Director

FLSA Status: Exempt (Administrative Employee)


Position Summary:

A highly responsible administrative position providing support to the Executive Director and branch library staff members with the goal of ensuring efficient operation of a five county, thirteen branch public library system.

Key Responsibilities:

  • Assists the Executive Director in the supervision of library branch managers, and makes regular reports to the director on communications with library staff;
  • Assists in the administration and implementation of all library services, develops and provides suggestions for improvements in library services;
  • Acts as Mississippi Library Partnership administrator and maintains a thorough knowledge of MLP procedures and technologies;
  • Maintains a thorough knowledge of the integrated library system (ILS), and trains all new employees on its use, functions, policies, and procedures. Ensures proper use by all employees;
  • Compiles monthly and yearly reports as requested or required by the Executive Director and/or Administrative Board of Trustees;
  • Assists Executive Director in the drafting, updating and enforcement of policies and procedures;
  • Assists in the interviewing, hiring, and performance review of library employees, creates and updates job descriptions as requested or required;
  • Assists the Executive Director in the planning and development of system-wide and individual staff training. Responsible for the staff meeting set-up and coordination as well as presenting relevant workshops and trainings;
  • Writes and initiates grant proposals seeking funding designed to aid, enhance or create library service programs and/or assets as requested;
  • Acts as system contact and coordinator for MMRLS Friends of the Library Groups;
  • Assists in maintaining library website’s helpdesk, creates and ensures that system calendars, informational, and policy manuals are up to date and accurate;
  • Assists and advises in collection development and collection weeding as needed;
  • Assists in the creation of MMRLS promotional materials as needed;
  • Periodically visits branch locations to assist, observe and train. Relates ideas, comments, and other relevant information to the Executive Director as needed;
  • Maintains records of relevant reports and documents as needed, as well as library system and branch history;
  • Performs administrative tasks as needed or required;
  • Helps to ensure the Mid-Mississippi Regional Library System complies with local governmental ordinances, State of Mississippi statutes and applicable federal regulations;
  • Maintains knowledge of standard library principles, practices, and laws through the attendance of workshops, conferences, and other training opportunities, as well as reading current literature;
  • Maintains proficiency with computers, current library software, and other relevant digital technology;
  • Performs other duties as necessary, or as assigned by the Executive Director and/or Administrative Board of Trustees.

Minimum Qualifications:

  • A bachelor’s degree is preferred. Candidates with a major in a relevant field may be given preference;
  • A minimum of five years of public library or related experience is required, and at least one of supervisory experience is preferred;
  • Relevant prior educational and work experience are equalizing factors that will be considered;
  • Must be a resident of Attala, Holmes, Leake, Montgomery, or Winston Counties, or willing to relocate;
  • Exceptional oral and written communication skills, excellent supervisory, administrative, technical skills;
  • Thorough knowledge, interest, and ability in every facet of the public library field;
  • Valid Mississippi Driver’s License.

Working Conditions:

A full-time, 40 hour per week job. Regular working hours are 8am – 5pm. Overtime may occasionally be required to complete job duties. Employee will be required to work with minimal supervision. Tasks may often require standing or sitting for long periods of time. Employee may frequently exert force equivalent to lifting up to 20 pounds and/or occasionally exert force equivalent to lifting up to approximately 35 pounds. Though most duties will be performed in an office environment, employee may occasionally encounter environment that is dusty and/or dirty with a lack of environmental control. Must have the physical ability to climb a step stool and rolling ladder, move a book truck, reach with hands and arms, stoop, kneel, crouch and bend. Employee will be required to work under stressful conditions, and in environments which present continuous interruptions and background noises. Employee will be required to respond appropriately to unexpected situations and scenarios.

Probationary Period: Three Months

Starting Salary: $42,500.00 – $45,000.00 per year based on education and experience. Salary review after completion of one year of service.
