Job Opening - Acquisitions Specialist
The University of Southern Mississippi is currently accepting applications for the position of Acquisitions Specialist.

Job Summary
Responsible for ordering and receiving for firm orders and serials.
Primary Duties and Responsibilities
1. Responsible for submitting orders for new library materials as well as ongoing serials and subscriptions in multiple formats (monographic, electronic, audiovisual, etc.). Tasks include, but are not limited to: Receives order requests, verifies holding information in local bibliographic database to avoid ordering unnecessary duplicate items, sends order requests to vendors or publishers via EDI, email or fax; Requests vendor information for new vendors (W-9’s, Vendor registration information) - sends that information to acquisitions supervisor; Performs all special handling order requests such as rush, out-of-print special orders and Interlibrary Loan requests, and monitors funds appropriated for orders during ordering cycle and informs acquisitions supervisor of any issues involving funds and ordering; Maintains records and statistics of materials ordered, and assists in training for using acquisitions and vendor ordering tools and websites, including setup on vendor websites.
2. Uses the University’s procurement card for purchases of library materials. Will act as a purchasing agent on behalf of the University and is ultimately responsible for charges made and responsible for ensuring each purchase complies with all University and department guidelines and policies. Must maintain the P-card in a secure location at all times. Obtains itemized invoices for every purchase made and provides them to acquisitions supervisor no later than 24 hours after each order. Ensures tax is not charged on the purchase; makes acquisitions supervisor aware of any billing errors or problems with the vendor as soon as possible.
3. Receives all formats of ordered materials, which includes monographs and subscription titles. Compares received items to order record to ensure correct title was supplied by vendor; compares invoice to order record to ensure correct price, title and format was invoiced. Completes receiving actions in system for each item; submits received invoice to acquisitions supervisor for payment.
4. Performs other duties as assigned.
Minimum Qualifications
At least two years of education in business or related field or two years of related work experience; or combination of education and work experience.
Knowledge, Skills & Abilities
· Proficiency in Microsoft Word and Excel.
· Basic knowledge and skill in maneuvering within Windows-based software applications.
· Basic knowledge and skill on Internet browsers and search engines to access web sites.
· Basic knowledge and skill of using email to send and receive correspondence.
· Skill in timely communication and providing effective feedback.
Must be detail-oriented and timely with all required notes, files and documentation.
Preferred Qualifications
One to two years of experience working in library technical services department. Two years of experience in a business acquisitions department.
